Administration and follow-up is done at BeLUG by a few volunteers, with everyone having their specialties and responsibilities. It goes without saying that if you contact the right person directly, you can also be helped faster. BeLUG is an RLUG (Recognized LEGO User Group) and therefore has a dedicated RLUG Ambassador, someone who handles all communication between BeLUG and LEGO.
